This application for exhibit space is subject to the AFCA Exhibitor Terms and Conditions. Once you submit this application you will be sent an invoice.  Acceptable payments are wire transfer, credit card or check. All payments must be in US funds. If you would prefer to pay by check, please mail your check for the full amount, made payable to the American Football Coaches Association, to: AFCA Exhibit Space – 100 Legends Lane – Waco, Texas 76706. AFCA Federal Tax ID Number: 02-0232424. Exhibit space assignments will be made based on your choice, as nearly as possible, on the date that the application and full payment is received, support of the AFCA and its programs, and/or the nature of your exhibit.   • Wave 1 – Corporate Partners and Sponsors – June 3, 2024
  • Wave 2 – Premier Exhibitors, 20’ x 40’ Exhibit Booths or larger (800 square feet or larger) – July 1, 2024
  • Wave 3 – Featured Exhibitors, Legacy Exhibitors (exhibited 10 or more years) and Marketing Partners – August 5, 2024
  • Wave 4 – Returning Exhibitors (have exhibited 9 years or less) August 26, 2024
  • Wave 5 – New Exhibitors – will start September 23, 2024

Exhibitor's Reminders

  1. Complete this application and submit with Exhibitor Booth Selection (1st, 2nd and 3rd choices), Agree to AFCA terms of contract.
  2. AFCA will communicate that they have accepted payment (in US funds) - acceptable payments are wire transfer, credit card or check.
  3. Contact Diane McPheeters ([email protected] or 254-754-9900) for questions or concerns about Exhibits.
  4. Submit Housing request via AFCA Housing once confirmation email has been received for payment.
  5. Receive "Service Kit" from The Freeman Company along with other vendor service order forms. 
  6. Contact Amy Lain ([email protected] or 254-754-9900) for any additional meeting space or suite inquiries.
  7. Make any credential name(s) changes by December 10, 2024.

Broadcasting Needs
Exhibitors cannot conduct any live or taped video or audio broadcasts from their booth space or from anywhere else in the venue without written consent of the AFCA. Requests should be submitted to Diane McPheeters, [email protected], by December 10th if any desired photography, video, or audio taping opportunity. Exhibitors cannot photograph or video record any booth other than their own.

WHAT IS INCLUDED IN MY BOOTH PACKAGE? A 10’ x 10’ booth will be set with 8’ high black  back drape and 3’ high black side drape, a standard one-line identification sign (7"x44"), Compliant liability insurance, which meets all of the AFCA and Convention Center requirements, book within the AFCA Housing Room block (based on availability), ability to book meeting room space in the hotels outside of show hours, pending AFCA approval.  

All Exhibit booths are NOT carpeted and does NOT come with table and chair(s).

Additional credentials may be purchased by the exhibitor in advance for $50 each.

Any Credential name changes must be made by December 10, 2024.  There will be a $10 per Credential name change fee starting January 1, 2025. 

We will do our best to assign you one of your booth choices; however, there may be a situation where we ask for more choices due to booth assignments.

Agreement of Terms
Please review the 2025 AFCA Convention Contract.

By clicking the box, I warrant that I am the authorized representative of the entity listed above (“Exhibitor”). I have read and understand, and Exhibitor hereby agrees to abide by the attached AFCA Convention Exhibitor Terms and Conditions which are incorporated into this application by reference as if fully set forth herein (the “Agreement”). 

Upon receipt of Exhibitor’s full payment by the applicable deadline and AFCA’s issuance of a space confirmation, this Agreement will be binding on Exhibitor and AFCA in accordance with the terms herein. Exhibitor understands that acceptance of Exhibitor at the convention in no way implies endorsement by AFCA of Exhibitor’s products, equipment, and/or services.
